The two kinds of workflows
Workflows come in two flavours, and most businesses end up using both.Knowledge workflows
Curated information about your business — product specs, pricing, FAQs,
policies — that AI assistants can query directly rather than guessing from
whatever they scraped months ago.
Action workflows
Structured processes a customer can complete through their AI assistant —
getting a quote, booking an appointment, checking eligibility, moving
through a multi-step form.
What this looks like for a customer
Imagine a customer asking ChatGPT: “I’m thinking about switching insurance brokers. What’s the quote process with [Your Business]?” Without workflows, the assistant might describe what it guesses the process looks like, or say “visit their website.” With workflows in place, it can:- Pull directly from the curated knowledge you’ve published to answer questions about products, pricing rules, and process
