The Workflows pillar is how Onsomble turns your business from something AI assistants mention into something customers can actually do things with through their AI assistant. Where the Discoverability pillar is about improving how your business shows up in the answers, Workflows is about what happens next — when a customer is interested enough to ask follow-up questions, get a quote, or book an appointment, right there in the conversation.

The two kinds of workflows

Workflows come in two flavours, and most businesses end up using both.

Knowledge workflows

Curated information about your business — product specs, pricing, FAQs, policies — that AI assistants can query directly rather than guessing from whatever they scraped months ago.

Action workflows

Structured processes a customer can complete through their AI assistant — getting a quote, booking an appointment, checking eligibility, moving through a multi-step form.
In both cases, the AI assistant is following a structure you have defined through Onsomble. It isn’t inventing the process or making up the answers.

What this looks like for a customer

Imagine a customer asking ChatGPT: “I’m thinking about switching insurance brokers. What’s the quote process with [Your Business]?” Without workflows, the assistant might describe what it guesses the process looks like, or say “visit their website.” With workflows in place, it can:
  • Pull directly from the curated knowledge you’ve published to answer questions about products, pricing rules, and process
  • Offer to walk the customer through an action workflow — asking the right questions in the right order, capturing their information, and handing a qualified lead back to you
The customer never leaves the assistant they were already using. You never have to build separately for ChatGPT, Claude, Gemini, or any future assistant.

How workflows fit alongside Discoverability

Discoverability and Workflows are designed to reinforce each other:
  • Strong discoverability without workflows means you’re mentioned by AI assistants, but the conversation still has to leave the assistant for the customer to do anything.
  • Workflows without discoverability means the business can be interacted with through AI, but few customers discover that option.
  • Both together is the point: customers find you through an AI assistant, and then actually engage with you through that same assistant.
Most businesses start with Discoverability because it’s the faster way to see value, then expand into Workflows once they have a clearer picture of what customers are asking.
