Switching between Sites
The Site switcher sits at the top of the Onsomble dashboard. Click it to see all Sites you have access to and jump straight to any of them. A few details worth knowing:- The switcher lists Sites alphabetically by name. Naming Sites consistently makes this list much easier to scan.
- Recent Sites appear at the top of the list for quick access.
- A search box is available once you have more than a handful of Sites.
The portfolio dashboard
For agency accounts, a portfolio dashboard gives you a single view of every Site you manage at once. From the portfolio dashboard you can:- See scan status across all Sites (when the last scan ran, whether the next is scheduled)
- Spot significant changes in discoverability metrics since the previous scan
- Identify which clients need attention — sharp drops in citation benchmarks, new competitor mentions, sentiment shifts
- Navigate directly into any Site from the list
Renaming a Site
Site names can be changed at any time from Site settings. Renaming doesn’t affect any data in the Site — scans, workflows, and history are all preserved. Only the display name changes.Archiving a Site
When a Site is no longer active — a client has left, a brand has been retired — you can archive it. Archiving:- Hides the Site from the default dashboard view
- Stops scheduled scans from running
- Preserves all historical data so you can restore the Site later if needed
Archiving is reversible. If a former client returns, restoring the archived
Site brings back its entire history — you don’t lose the scans and trends you
built up.
Deleting a Site
Deletion is permanent. All Site data, including scan history and workflows, is removed and cannot be recovered. If you only need to stop scans and free up a Site slot, archive instead. Reserve deletion for Sites that genuinely need to be wiped — for example, if a client has asked for their data to be removed.Organising a growing portfolio
A few small habits that pay off as your portfolio grows:- Use consistent Site names. Match the client’s preferred business name. Avoid internal nicknames that future teammates won’t recognise.
- Keep competitor lists current. When a client enters a new market or loses a competitor, update the competitor list so scans stay relevant.
- Archive promptly. When a client leaves, archive their Site. A cluttered portfolio dashboard makes triage harder.
- Review scan schedules periodically. Weekly scans work well for active clients; monthly scans may be enough for lower-priority ones. Adjust based on how actively you’re working on each client.
